How do you manage multiple SEO clients efficiently without losing your mind?

I’ve been doing SEO for many years, and one of the hardest challenges I’ve faced is keeping track of multiple client projects at once: tasks, rankings, deliverables, and reports all scattered across spreadsheets, Trello boards, and email threads.

No matter what tool I tried, something was always missing, either too simple for SEO work, or too complex for daily use.

Recently, I started building my own system to solve this problem. It already helps me stay on top of client work much more easily.

Before I finalize it, I’d love to learn from others here:

  1. How do you keep track of SEO work across multiple clients?

  2. What’s the one feature you wish existed in your current setup?

  3. Do you prefer using project management tools or custom spreadsheets?

For lead gen clients we used airtable + make - highly recommend. You can self-build automated reporting etc so it will save you some time
