What happens when a customer says “Call me later”?

One of the tricky parts of building voice agents is handling conversations that don’t get resolved in a single call.

A customer might be busy, ask for a callback tomorrow, or simply not answer the first time. We wanted to make sure these scenarios are handled as part of the voice workflow, not left for someone to manage manually.

At Vaani AI, we’ve built callbacks and retries into the platform.

Here’s how it works:

  • Callbacks on the customer’s terms: The agent asks for a specific date and time, confirms it with the customer, and schedules the callback in their timezone.

  • Context carries over: When the callback happens, the agent has access to the previous call’s summary, transcript, and extracted details. The conversation can continue instead of starting from scratch.

  • Reschedule or cancel: Teams can manage scheduled callbacks through the dashboard or API.

  • Automatic retries: If a contact doesn’t answer, campaigns can retry automatically based on the configured attempt limit and wait interval.

  • No unnecessary repeat calls: If a customer has requested a callback, the regular campaign retry waits until the scheduled callback time.

  • Concurrency-aware execution: Retry calls respect the client’s concurrency limits instead of flooding the calling queue.

The interesting part is that callbacks and retries solve two different problems. A callback is based on what the customer requested; a retry is based on an unsuccessful call attempt.

We’re trying to make both work together without creating a frustrating experience for the person receiving the call.

For people building voice agents or outbound calling systems: how do you distinguish customer-requested callbacks from automatic retries? And how do you prevent the two mechanisms from triggering duplicate calls?

If you’re exploring these workflows, check out Vaani AI and try building a campaign with callbacks and retries. We’d love to hear what edge cases you run into and what you’d improve.
