@hsilk we’ve been managing certs in spreadsheets for years and it always gets messy once the team grows. this looks cleaner. how are you handling reminders, just email alerts or something more flexible?

Thank you. Yes, currently through email reminders 60, 30 and 7 days prior to certification expiry. If you have any suggestions on how we can improve reminders, I'd love to hear them.

@moh_codokiai Completely fair question - for a very small team a spreadsheet can work.
Where it breaks down is consistency and visibility over time. Spreadsheets rely on someone remembering to update them, and calendar reminders rely on someone setting them in the first place. In practice both get neglected, especially when people are busy or when staff change.
A few features I think are worth highlighting here:
Automatic expiry alerts - you don't set reminders manually, the platform tracks every cert and notifies you at 30, 60 and 90 days automatically. No action required until something actually needs renewing.
Skill gap analysis - this is probably our most useful feature for managers. We've mapped our entire certification database against key IT pillars - Incident Response, Cloud Security, Networking, Forensics and others. At a glance you can see not just who has what cert, but where your team has coverage gaps and where you're exposed. A spreadsheet can tell you what people have. We tell you what you're missing.
Team structure - you can organise members into teams, which matters when you're managing a SOC team, a pentest team and a cloud team under one org. Filtering by team, seeing expiry by team, exporting by team - that gets messy fast in a spreadsheet.

@moh_codokiai so we are working to make this as integrated and automatic as possible. One way we have done this is by allowing cert imports from Credly. We acknowledge that with IT certs, Credly is a huge platform people usually go to post their achievements, because of this we allow users to input their Credly username and import certs over to the platform.
This Credly integration has been really important for us as it's allowed a certain level of automation, but also it helps build our certification database. Any certification that is imported from Credly and is NOT recognised by our db, is then added to our db, and mapped against the key skills / pillars involved with that cert, helping build our skill gap analysis capability.
We are still at a very early stage of our project, and as we get more users and received more feedback, we aim to continue driving towards this automation piece and away from manual updates.

@hsilk that’s actually a solid approach, credly integration makes a lot of sense since most certs already live there.
if you can keep pushing more automation and reduce manual input, this could be really useful for teams over time. good direction, good luck 👍
@hsilk looks clean, but wondering about long term usage. does this integrate with HR or other systems or is it more of a standalone tool for now?
@xavair so our plan for now is to keep it as a standalone tool - however, as we aim to make this tool as convenient as possible for the IT manager with automation etc, this will eventually mean integrations with other platforms.
We aim to get a foundation user base first so we can really see what integrations are being requested most, but currently a Microsoft Teams integration is being explored - a way for cert expiry reminders to get pushed out, other than email, into a Teams channel.
